How to add content in a folder ?

Information about adding plone content in a folder.

In the navigation slot on the left, select the folder you are allowed to modify.

If you need a write authorization for a specific folder, ask the webmaster. (link contact webmaster below)

Once you have selected the folder you are allowed to modify, several tabs appear in green:

  • contents : display the content of a folder.
  • view : view the page.
  • edit (not for folders): edit the page to modify it.
  • properties : see and manage the properties of the object.
  • sharing : share the permissions of the object.

On the right, in green, you can see:

  • actions: cut / copy / delete / rename
  • add new item or add to folder : to add a new object at this place.
  • state:visible : to change the state.

For folders, the first page displayed is the one whose id is index_html. If this page does not exist for a folder, a default first page is displayed instead showing the list of items in this folder.

On the right of the personal bar in the header, you can see:

  • my preferences : to change password and manage your preferences.
  • undo : to undo the latest action.
  • log out : to log out. Do not forget to log out before closing your web browser.

Different types of objects:

You can add 4 types of object:

  • event: a event you want to publish in the calendar
  • file or image: to upload an external file (like Word, Excel, zip, exe...) or an image (gif, jpg...).
  • folder: a folder which can contain other objects.
  • link: a link to another page.
  • news item: a news item you want to publish into the news portlet in the right column.
  • page: a simple page you can fill with html, structured text or plain text.
  • smart folder: a smart folder which shows an automatic list of all objects of one kind contained in the plone site, for example news items.

Adding a new object:

Once you have created a new object, by add new item in the green bar at the top right corner of the main content, you have to fill some properties for this object. The properties with a red square are mandatory.

  • The Short Name of the object is the id of this object. It has to be one single word: do not use spaces or special characters in Short Names ! Use only small or big letters. You can also use - or _ . Better choose a name which means something and not doc1, doc2...
  • The Title can contain spaces. It has to be meaningful but not to long for folders because it will appear in the navigation on the left box.
  • The Description is a small text which will appear in bold at the beginning of the document. It will also been displayed in some of the automatic listings below the title.
  • The Body text contains the information you want to display. It can be written in Structured Text, HTML or Plain Text. Select the corresponding option in the button group.
  • You can also Upload the body text from a file.
  • Once all the required properties are filled, you can save your object or cancel your modifications.

If you do not modify a newly created object, it will stay empty with its automatically created id. Remove it in the contents tab if you do not want to use it.

Publish your newly created object:

Once you have created your object, you can change its state in the top right corner of the content area. By default it is written state: visible. Here are the different states:

  • visible: a visible object is accessible by everybody but will not appear in the navigation on the left. It will be difficult to access it if there is no link to this object.
  • published: this object is accessible by everybody and will appear in the navigation on the left.
  • private: a private object will be accessible only by the object's owner and the webmaster.
  • intranet: an intranet object will be accessible with a login and a password by the members. It will appear in the navigation.
Document Actions
